The User Groups feature is used by admins to assign and restrict individual users access to specific campuses within PlanStudio by assigning them to a group and then configuring which campuses that group has access to.
Accessing User Groups:
To begin, go to https://account.locatrix.com or navigate via the account management tab in the Help menu from PlanStudio's toolbar.
Once on the account management page, select the "User groups" option from the menu.
Here, you'll see all of the current groups in the partnership. By default, all users are added to the "Everyone Group," which grants access to all campuses.
To start restricting users access to campuses you will first need to create a new group and define which campuses the group can access, and then change the permissions of the Everyone group.
Note: the Everyone Group will need to be edited to change from giving permission to 'All campuses' to 'No Campuses' before your other groups permissions take effect, Ensure that all users who need access to campuses are assigned to a group before you do this to avoid any users loosing access to their work.
Creating New Groups:
Click on the "Add Group" button to create a new group, Enter a group name and description, You can then add members by searching for their accounts. You can edit the campuses the group has access to by selecting "Selected Campuses" and adding the desired campuses.
Once you have finished adding users and Campuses you can set whether users in a group have permission to create new campuses in PlanStudio. Any campus created by a user in a group will automatically be added to that group. Click "Save" to finalize group settings.
Note: All users with an Admin role bypass group restrictions, and users belonging to multiple groups will have access to all campuses for all assigned groups.
Managing Users & Groups:
Use the invitations page to invite new users directly into groups. You can also provide time-restricted access, useful for contractors or external users.
You can also select individual users accounts to see their group memberships and adjust access accordingly.
Benefits of User Groups:
Utilize user groups to provide restricted access to specific plans, create focused workflows, and manage access efficiently.
Only configure groups if needed, and reach out to your account manager for assistance if required.
By following these steps, you can effectively manage user groups in PlanStudio, enhancing security and workflow management within your organization.
